THE CHALLENGE:

Every custom HVAC build created a complex record set

Armstrong’s Professional Engineers Group manages the lifecycle of custom HVAC projects from proposal and submittal through manufacturing, shipment and on-site commissioning. Each build produces warranties, service contracts, inspection records and customer information that must remain available throughout the asset’s service life.
Quality assurance checklists travelled with equipment on paper along the assembly line. Armstrong needed a digital way to manage the documents and inspections, make records available to authorized global team members and give customers secure self-service access.

“The objective is to improve the customer experience from project inception throughout the service life by implementing a digital platform. This will allow storing and managing artifacts and making them available externally to paying clients and internal team members and act as a gated process mechanism to improve the quality of the deliverables.”

THE SOLUTION:

A gated digital quality process

Technicians received tablets with Field Eagle to complete inspections at the point of work. Required questions could not be skipped, and incomplete inspections could not be submitted. Technicians could attach photos as objective evidence of product condition and completed quality checks.

Managers used the company portal to build inspection templates, assign work, store warranties and service contracts, retain customer data and generate reports. The client portal provided a secure location where customers could access the inspections and documents shared with them.

THE RESULT:

Consistent deliverables and accessible quality evidence

Armstrong established a digital record for each custom build and customer. The gated workflow improved completeness before an HVAC package system was packed and shipped, while photo capture created richer evidence without a separate camera or filing process.
The same approach helped align factories around a consistent quality-inspection process. Authorized teams could retrieve records globally, and customers could access relevant warranties, service documents and inspections through the client portal.

"Field Eagle has allowed consistency over quality before it gets packaged & shipped and allowed us to align our different factories globally regarding quality inspections. It has started an online database with more pictures which are now easy to take and store."

A CLOSER LOOK AT THE IMPLEMENTATION:

What changed in the quality workflow

The quality checklist stopped travelling down the assembly line as a paper document. Technicians completed it on tablets, attached photographs to individual checks and could not submit the inspection while required questions remained unanswered. The inspection record then stayed with the warranties, service contracts and customer information for the custom unit.

Why the result matters

A custom HVAC package can pass through multiple teams before shipment and commissioning. A consistent digital record makes the final quality decision easier to support and gives service teams a clearer history after delivery. Customer access also reduces the need to locate and resend the same documentation manually.

Best fit for this approach

This approach suits manufacturers of configured or engineered-to-order equipment where every unit has its own inspection evidence, drawings, warranties or service records. It is also relevant when several factories need the same acceptance process without losing control over customer access.

How Field Eagle connects the inspection workflow

Field Eagle brings mobile data collection into one Inspection Management Software workflow. Teams can use Field Inspection Software at the point of work, maintain asset-specific histories with Asset Inspection Software, and configure the broader Inspection Software process around required forms, evidence and reports.

For organizations that need connected business systems, review available Integrations. Teams can also use structured records to support internal standards and external Compliance requirements.

Frequently Asked Questions

The checklist should reflect the product, manufacturing stage and acceptance criteria. It can combine required pass/fail checks, measurements, notes and photo evidence, with sign-off rules that prevent submission until mandatory items are complete.

A gated workflow can require an answer or evidence for every mandatory item before submission. Armstrong used this control so missing questions were identified before the custom HVAC system was shipped.

Yes. In Armstrong’s workflow, inspection records, warranties and service documents could be shared through a secure client portal while internal access remained controlled by the portal administrator.

Yes. Centrally managed templates give factories a common set of checks and acceptance expectations. Armstrong used Field Eagle to align quality inspections across global operations while keeping the resulting records accessible.
